Our next meeting is Monday, March 29th, 7:00 PM, All are invited and encouraged to come out and take part in our monthly planning.  This meeting is where the various events are planned and improved upon.  Our Outreach and Events are a big part of our success story these last few years, and our continued growth depends upon YOUR support.  You do not have to be a member, we want YOU to be a part of our growth.  YOUR opinion matters.

General Discussion

 

Projector in the Sanctuary.  Last month we voted to spend up to $3000 for a Portable Projector, an Electric Permanent mount Screen, Speakers in the back so the Children’s group can hear the sermon, and a system for wireless headphones for those that need a higher level of volume during the Services. We have on order a Projector and Screen.  $1500 plus Tax, Shipping, and Handling.  Should be here in two weeks.  Speaker system for the back is next on the list.  The money is to come from the General Fund.

 

 

Renovation Committee  Last month we voted to spend up to $750 on Three Dehumidifiers for under the church.  The money is to come from the Building Fund.  These will be purchased before the summer.

 

Yard Clean up day is to be Saturday the 6th of March, and the 13th of March as the rain date.

 

We received one load of rocks in the driveway for a cost of $25 per ton delivered (Approx. $400 for the load).  That was put in the worse part of the driveway over part of the trench that was dug for the new electricity.  We need at least one more load to get us thru till drier weather.  One more load will be delivered this week.

 

Charge Discussion

 

Pastor David Bundy (Woodland UMC) sent an email to Carroll asking about the possibility of renting the Parsonage.  He wishes to move his birth Mother back into the area sometime around May or June of this year.  He knows the parsonage has been empty and was wondering if we would consider renting.  His mother is on Social Security and can afford around $500 to $550 per month.  He would take care of the yard maintenance.  She has a small (under 10 pound) dog that is house broken.  He understands our need of a year to year lease that ends in June.

 

The parsonage is in need of some repairs.  The guest bathroom needs some floor work under the tub area.  Also there has been some discussion of replacing the oil furnace with a more modern efficient electric unit.  Also some discussion of upgrading the windows to modern double glass energy efficient windows.

 

Oak Grove votes in favor of renting the parsonage at an affordable rate as requested.

 

There will be a Charge Parsonage Committee Meeting the first week of March to discuss.

**LEAPS at Winfall Youth Detention Center  2nd and 4th Saturdays.  1:20 to 2:30.  Carroll could use a hand to ask questions and lend moral support on 4th Saturday’s.

Pastor Ray raised the possibility of getting new tables for the back.  Maybe round tables to try to get more people sitting at the same time in the same area.

**21 Feb 2010 Pastor Ray at Kairos Event.  Anne to speak.

**Two sets of Bells (16 Bells) and four songs.  $245  (either per kit and 2 songs or for 2 sets and 4 songs).  Each additional song is $25.  Motion is to purchase the 2 sets of Bells with 4 songs, and spend no more than $550.  Betty made the motion and Charlie seconded it.  Motion approved.

**Pastor Ray at Duke for 3 Sundays in July.

**Alpha Ministries   Startup Kit costs $499.  Has everything needed for a class of 25.  Recommend  Budget $1000 Budget.  Possibly start in September thru November 2010.  Need approx 10 people to volunteer to be the ones to “work” the program.  They would coordinate food for the meals, and also participate/lead the small group classes.  Motion to purchase the kit was made by Betty Ferrell and 2nded by John B. and approved.

Oak Grove Food Pantry  

Outreach Fund Report 

 

Projector in the Sanctuary.  $1000 for a good professional projector.  $400 to $600 for a electric screen. Renovation Committee  UPDATE  Approx. $60,000 has been spent on renovations to date.  Approx. $2074 now in the Building Fund.

Need to purchase 3 Dehumidifiers at a cost of approx. $239 each from Lowes.  Carroll made motion to use up to $750 for purchase of Dehumidifiers and 2nded Brenda.  Voted unanimously.

To finish the shingles on the church, will cost approx. $5800  for the Sanctuary.  Carroll made motion and Anne second motion to table this till May.

Church Yard Cleanup for March the 6th with a rain date of March the 13th.

General Discussion

 

Money from Christmas Eve Service??  Where to donate?  Pastor Ray is to buy a tire for a need lady he knows, and Charlie to buy non perishable food for Jo Anne to give away in Winfall.

 

Oak Grove Food Pantry We will continue to collect non perishable foods every week for Jo Anne to give away in Winfall.  Pastor Ray to talk to someone at the Food Bank to get the ok to have a Food Pantry at the church and get instructions on how to set it up.

 

Outreach Fund Report   We have money.

 

Singspiration   Next one 16 May.  AG and Kate on either the 21st or 28th of July.

 

Sunday School Update

 

Alpha Discussion and Vote.  We decided to get a better schedule of events and see if we can get the volunteers to do the cooking, cleaning, and general support of the program.  Money for the program is not the issue.  It is a big undertaking and we need to be prepared for success.

 

Motorcycle Ministry What do we need to plan for the revival in May??  We may need to find rooms for some of the participants.

 

TV’s in the Sanctuary.  What do we hope to accomplish?  How do we raise the money?  Voted to turn over to the renovation committee.  Budget under $2000 and try to raise other funds thru donations.

- Youth Group   Anne needs help.  Also talking to Woodland UMC.  There first meeting is

- Have everyone think about things to do next year. What we liked doing? What new things we can add? What new outreach things we can do? This is just to think about for the next meeting. Not to discuss at this meeting.

What is our “event” for January?  March??  April??  June??  Community Yard Sale, Hertford 4th of July and Christmas Parade, Movie Night for kids are all ideas we have tossed around for next year.

Acolyte Training  Need to have a training session where the kids have time to come out and train.  We talked about having them come out the same day as the Youth Group is to meet.  Mrs. Joyce to head up this class.

We voted to add a link to our Website for Cokesbury.  Will be able to make purchases thru the Website and the church gets a rebate.

Voted to have someone come in Sunday mornings to teach bells to the kids.

12 Dec Chapanoke Pullers Association Banquet.  Starts at 3 PM, Dinner at 4 PM.  They would like for as many of us as could/would to come.  Thank us for helping them out.  Sent an email to Steve telling him 5 or 6 of us will be there.

13 Dec  Christmas Program  Sarah is working on something with the Choir.  9AM Service.  Breakfast will be Pancakes and Bacon, and all the fixings.  Served after the program.

24 Dec  Christmas Eve Program  Location to be discussed.  Charge Wide event.  Oak Grove will host.  Start at 7 PM.  NO REFRESHMENTS so everyone can go home to family.

 

General Discussion

 

Oak Grove Food Pantry  At last meeting we decided to look at setting up in the room behind the choir, once the roof repairs are complete.  To discuss this at the Renovation Committee Meeting.  NO DISCUSSION

 

Outreach Fund Report   (Holding $250 from Oct Concessions, and $215 from Oct. Singspiration in the General Fund.)  Balance around $900 minus the $250 from Oct Concessions.  SEE NOTES on Adopt a Family.

 

Singspiration   When do we do it again???  Tentatively Feb 14th and May 16th.  Also, AG and Kate to perform either 21st or 28th of July.

 

New Order of Worship   December??  Staying the same.  We need to get a speaker into the back so the ones working with the kids can hear the announcements, and also maybe part of the service.

- Adopting a needy family at Christmas.  (Aleah Sawyer and family??). Also maybe get several names off the Angel Tree in Woodard's Pharmacy.  Voted Unanimously to Give (the Oct Concessions, and Oct Singspiration, plus some) $500 to Faron and Sara Sawyer.  Anne to write a check.  Carroll will deposit into Faron’s bank account.  ALSO voted to adopt 2 kids from the Angel Tree at Woodard’s Pharmacy in Hertford.

 

- Adopting Day Break. Last year we adopted six seniors. Barbara is going to try and call them today.  Voted Unanimously to adopt 5 Seniors.  Barbara to get a list of things they need, and we will either ask for donations or pay for gifts from Outreach Fund.

 

- Youth Group  No Discussion.  Meeting Wednesday Night.

- Have everyone think about things to do next year. What we liked doing? What new things we can add? What new outreach things we can do? This is just to think about for the next meeting. 7 PM at New Hope UMC.  Woodland UMC, Anderson UMC, Mount Hermon UMC, and Oak Grove UMC all come together for a celebration of Singing, Worship, and Fellowship.  Our choir AND the Oak Grove Quartet have been asked to sing.

General Discussion

 

Oak Grove Food Pantry  The Food Bank of the Albemarle has refused to support this in the Winfall location.  It must be in a secregated area of a building, and cannot be at the same location as the “Open Door”.  Not real sure their reasons, but it is a Government operation, and if we cannot share then we will try something else.  We decided to look at setting up in the room behind the choir, once the roof repairs are complete.  To discuss this at the Renovation Committee Meeting.

 

Outreach Fund Report   Brenda has $858.84 on hand plus the $250 from the October Concessions.  Since we are not doing the Food Bank in Winfall, it was decided to hold that money till we can find out about getting a Food Distribution here at the church.

 

Oct. Singspiration Report and discussion.  What did we like.  What could we improve upon.  We raised $215 for our Food Bank in Winfall.  Since we now are not doing that, we are going to hold this money until we find out about getting a Food Distribution here at the church.  The Singspiration was a huge success.  We were a little disappointed about the attendance, but the event itself went very well.  We did discuss the possibility of adding lights in the parking areas at the two outer driveways.  Maybe turn the flood lights on from the side of the church.  We feel like we should invite a couple of choir groups from other churches may increase the attendance.  The Pastor is going to work with other area Pastors to try to increase the advertising in church bulletins at other churches.  This should help to get the word out to the people that would come to one of our events.

 

New Order of Worship   What do we like.  What do we dislike.  All positive responses to date.

 

Evangelism Committee Report  The Pastor had a couple of ideas that he has been working.

  1. Go over to NorthEast Drag Strip with a service and some handouts.
  2. Noah is attending the Alpha Program in Edenton and will give us a report on that in a month or so.
  3. We are to put together our own Alpha Sunday.  Have someone over to tell us about it and then have a pot luck supper.  Tentative date is 4 PM on the 29th of Nov.

 

Acolyte Training Update  no update

 

Sunday School Update  Betty Ferrell is working on getting some programs for the various classes and the childrens church.  Jean has volunteered to take the kids one Sunday per month to give Barbara a break.  Still looking for other volunteers.

 

Angel Food Ministries  Tabled again this month till further notice.

 

Motorcycle Ministry Update  Still planning a concert.  Have not set the date as yet.

 

TV’s in the Sanctuary.  Carroll to sell the idea to the congregation on Sunday.  Make sure no one is offended by the idea.  With the Christmas Season coming up, we may run across some deals on what we need.

Treasurers Report.  As of 1 Oct. 2009, we had $16,959.41 in the General Fund and approx. $12,400 in the Building Fund.

 

Greeters  We need to form a Greeters Committee.  Make sure everyone is spoken to before and after Worship, and just as important, no one should sit alone during the Fellowship Time, most especially Visitors and New Comers.  We have to make everyone as welcome as possible, and bring them into our family.

The meeting was called to order at 7:30 PM by Jimmy Gard and opened with Prayer by Preacher Ray.

 

Betty Griffin announced that she needs pledges and donations for the Albemarle Food Bank Walk for Hungerturned in before the eventThe walk will be Oct 11, 2009.  See Betty to sign up to walk the route.

Materials have been purchased and shelves have been built for the Oak Grove Food Pantry and Clothes Closet.  Barbara made a motion to reimburse Charlie, Preacher Ray and Lynn Watson a total of $88.00 for material.  Sarah Harrison 2nded the motion.  It passed by unanimous consent. 

 

Profits from the Oct Concessions sales will be divided as follows:  ½ to the building fund and ½ to the Oak Grove Food Pantry

 

Brenda gave a report from the Outreach fund:  On hand $1017.  Outstanding bills $205.  Leaving approx $800 in the fund.  Since we began the Concessions Fundraisers, we have made and distributed profits as follows:  $1500 to the Building Fund and approximately $1200 to local/community outreach projects

 

Ben Sr gave an update on the septic tank.  We could not flush either toilet a couple weeks ago.  The tank was pumped and a line was added to help with the waste.  The septic tank is in excellent condition according to the repairman.  We do not yet have a bill for the service.  We agreed by unanimous consent to table grading and seeding the ground until after the roof is complete.

 

The Renovation Committee will meet to decide how to proceed with the roof repairs.  We have 2 quotes that are within $70 of each other.  We can repair the roof in stages, so the wings can be fixed first.  The renovation committee will meet, draft a followup letter to be sent to the congregation with the progress and our shortfall.  A decision on how to repair the roof will be made based on the funds available after the letter is sent.

 

Carroll Bundy made a motion to postpone the Community Pig Pickin’ til the Spring of 2010.  Sarah 2nded the motion.  .

 

Charlie made a motion that the profits from the Oct 24th Singspiration will be used for the Oak Grove Food Pantry and Clothes Closet.  Carroll 2nded and it passed by unanimous consent.   We will also ask the congregation to bring in an article of gently used clothing for distribution.  Preacher Ray will discuss publicizing the clothing drive with Annette.

 

Barbara suggested that instead of sending care packages to soldiers overseas, we send a care package of homemade baked goods to Cynthia Stinnette, who will be out of basic training and in her military school by Nov.  Brenda made the motion and Sarah 2nded it.  The motion passed by unanimous consent.

 

Preacher Ray stated that the new Order of Worship will begin on the first Sunday in October.

 

Preacher Ray gave a report from the Evangelism Committee:  There will be more opportunities for Charge Lay Speakers, he wants to begin a Christian Education  “class,” the charge needs to focus on Outreach,  and we need to have a plan for the Children’s ministry.

 

Twelve “Come Follow Me”, Acolyte training books were ordered for delivery by Sunday.  Acolyte training is being held during Sunday School.  The books were $7.95 each.

 

Preacher Ray also wants to have a planning meeting for the following:

 

 

 

  • The adult Christianity Course is “Alpha.” 
  • We need to schedule a Teen and Children’s Confirmation Class
  • .

  • The website is up and running and is loaded with information. Carroll is the webmaster.  The website is www.oakgroveumconline.com
  • Sheila is the administrator for a Facebook page for the church as well.  We have 17 friends and fans.

 

We agreed to table the discussion on the Angel Food Ministries until the October meeting.

 

Carroll suggested that we look at our electricity usage and take whatever steps are appropriate to decrease our electricity usage.  Anne stated that our electricity bill was about $125.00 per month in the summer and substantially higher in the winter months.

 

Preacher Ray reported that the site for the Motorcycle Ministry Concert will be the Rocky Hock camp ground and the park owner was so excited that he asked if we could have a fall concert, as well.  Ray will look into the feasibility of doing so.

The comment was made that 2 years ago, church services had approx 19 people in attendance.  The meeting tonite had 19.

The meeting was called to order at

7:30 PM

by Jimmy Gard and opened with Prayer by Preacher Ray.

Betty Griffin announced that she has requested registration forms for Oak Grove to participate in the Albemarle Food Bank Walk for Hunger again this year.  The walk will be Oct 11, 2009 .  See Betty to sign up to walk the route.

New Business:


Due to the Tractor pull being rescheduled, the date for the Community Pig Picking has to be rescheduled.  Ben Jr moved to postpone it.  2nd by Noah.  Suggestion by Carroll and 2nd by Barbara to reschedule for Oct 24th and see if the Singspiration can be on Oct 25th.  Firm up the dates and details at the next meeting.

 

JoAnn and Karen will try to secure donated pumpkins for the Pumpkin Carving on Oct 31st.  They do not need to be perfect pumpkins, just good enough to carve.

 

Ben Roberts, Jr. gave a report of the renovation committee.  We are still getting quotes on replacing the roof.  The renovation committee will meet soon to make recommendations.

 

Carroll passed out a suggested changed Order or Worship.  The change is designed to allow Ray to have more time to deliver the message, and be able to make it to Epworth in time for their service. 

 

Gilmer requested that the church allow him to make donations to St Judes Children’s Hospital thru the church.  He will write checks to Oak Grove and earmark them to St Judes and Anne will send the money to St Judes.  Passed by unanimous consent.

 

Noah commented that the adult Sunday School Class participation has dropped off considerably.  Preacher Ray stated that the Sunday School Classes would be discussed by the Evangelism Committee.

 

Adult Bible Study will resume on Monday Sept 14th at 7:30, following choir practice. 

 

We have not yet distributed funds from the last singspiration or August’s concessions.  Motions were made for the following:

  • A motion was made by Barbara and amended by Carroll to give the $230 from the last singspiration to the Walk for Hunger for the team from Oak Grove UMC.
  • Profits from the August Concessions to be split ½ to the building fund and ½ to the Outreach fund.  (profits were approx $580 total in August)
  • Profits from September Concessions to be split as follows:  ½ to building fund, $50 to Misc school supplies for Hertford Grammar School, balance to Outreach Fund.  Motion was made by Charlie, 2nd by Carlton.

 

Upcoming Outreach Items

      Nov 8th—Solider Care Package Collection

      Purchase supplies for Thanksgiving Dinner for at least 2 families. 

      Purchase Christmas presents for the children for whom we donated school supplies

      Purchase Christmas Presents for several seniors at DayBreak

We use the Outreach fund to purchase most of these items.

 

Ray made a report on the Evangelism Committee:  This is a charge-wide committee.  Members from Oak Grove are Jimmie Gard, Carroll Bundy, Brenda Umphlett and Anne Tavenner.  They will be addressing:  Adult Sunday School Classes, Children’s Ministries, Youth/Teen Ministries, and a Discipleschip system.  The Perq Charge has 4 layspeakers. Each of them will be given an opportunity to speak once per quarter.

 

Larry Barnes and Bonnie Jenson will be getting married on Sept 18th at

7PM .  The church is invited and there will be a reception to follow in the Fellowship Hall.

 

Ray gave an update on the Food and Clothes Pantry Distribution.  Ray met with the members of the Albemarle Food Bank. 

  • The Oak Grove Food Distribution needs a Director and a Board.  The Director will be JoAnn Watson.  Members of the Board are:  Karen Maupin, Noah Cohee, Carlton Boyce and Bonnie Jenson.  Anne Gard made a motion to accept the board and Charlie Umphlett 2nd the motion.
  • The dates and hours of operation will be Every Other Friday from 10 – 12 AM.  We will distribute dry goods only.
  • We will need volunteers in 2 groups to help with this ministry.  One “Stocking Group” for Thursday nites and one “Distribution Group” for Friday mornings.  Jo Ann will set up the schedules and manage the volunteers.
  • If we can distribute food on the 1st and 3rd Fridays, that will give residents food every week.  We will start with #500 for the first distribution, and see what that gives us. 
  • At the June 27 meeting, we voted to pay $75 per month toward JoAnn’s rent and to purchase 1000# of food at $.19/#.  We will make adjustments as necessary, once we have a true feel of the need.
  • The collection at the breakfast will be redirected toward the Oak Grove Food and Clothing Pantry

 

Ben Jr made a motion to post the meeting minutes on the web site for the congregation to see.  Everyone agreed.

 

Jimmy Gard volunteered to lead the acolyte training either during Childrens’ Church or Sunday School.  We will develop a schedule for them.  We will ask Joyce Bundy, to see if she would be interested in helping with them.

 

Jimmy Gard introduced the Angel Food Ministry.  Ray will do further investigating and we will revisit it at the Sept. meeting.

 

Carroll Bundy led us in prayer.  The meeting was dismissed at 9 PM.
